Challenge
Traditionally a highly interactive, community-driven in-person event, we were tasked with executing a fully virtual event that posed unique challenges. The goal was to ensure that the essence of GRAD Day, its emphasis on connection, diversity, and belonging, was not only preserved but amplified in the digital space. The task required reimagining campus tours, faculty interactions, and peer networking through the Hopin platform while maintaining high levels of engagement. Balancing a full-day schedule with meaningful content delivery and ensuring accessibility for diverse participants across different time zones were additional considerations. We needed to produce all of this in only 11 days!
Solution
We created a dynamic virtual event tailored to Stanford’s values by leveraging the Hopin platform to offer immersive campus tours, live Q&A sessions with faculty and graduate students, and interactive networking lounges. This experience provided vivid insights into Stanford’s community centers, faculties, and graduate residences, while panels and fireside chats highlighted the IDEAL initiative’s impact on research, education, and community-building. High-quality visuals and seamless transitions ensured a professional event that truly reflected Stanford’s commitment to excellence.
GRAD Day in 2019 amassed 60 prospective graduate students. We welcomed over 400 prospective graduate students from diverse backgrounds in 2022, this increase in attendance was due to the virtual format of the event. Students joined an immersive experience from the comfort of their homes, helping them make informed decisions about attending Stanford. Faculty and current graduate students provided invaluable insights into life at Stanford, with many noting that the event’s emphasis on diversity and belonging resonated deeply with campus life. The IDEAL initiative was brought to life through engaging discussions that showcased Stanford’s leadership in creating equitable academic environments.
GRAD Day 2022 underscored the power of community and celebrating diversity through thoughtful design and a shared commitment to inclusion.
